One of the most time-consuming things for everyone who deals with finances has always been manual data entry. It takes time, leads to errors and raises operational costs for business owners.
If you are working with QuickBooks Online and have ever tried entering information for hundreds of invoices manually, most likely you are looking for a way out. Good news is, it exists.
Instead of creating an invoice by invoice and doing your best to avoid any possible mistakes, which are highly likely to appear, you can enter all of it into a single spreadsheet, map it to QuickBooks UI fields, click Import and voilà — the invoices are already created in your QuickBooks Online company.
Business Importer app allows for unlimited imports into QuickBooks Online, starting from $10 a month for imports into a Single Company. There is also a free 14 day trial.
Take a look at how you can automate the process in a few easy steps.
Step 1: Prepare your spreadsheet. Business Importer will provide all of the fields that exist in QuickBooks UI, so do not get overwhelmed by thinking everything has to be filled. All of it can be filled, but only three fields are required for a successful import. Customer Name, Line: Amount and Line: Product Name.
Step 2: Start your Import in Business Importer. You will be taken to a mapping stage where you can match headers from your file to QuickBooks Online name fields. If you use Business Importer Invoice Template, the mapping fields will be pre-filled.
Feel free to use a great tool available on the right side of the import page — Mapping Helper. It will allow you to see what it would look like in QuickBooks Online as you add each new field to the mapping.
That’s it. Now you can open your QuickBooks Online company and find all of the newly imported invoices, for example in Recent transactions.
This is what a freshly imported invoice will look like:
Using this powerful tool can allow you to create hundreds and thousands of invoices within mere minutes, forgetting about manual data entry forever.
