Use Case of the Week: Issue while Importing Journal Entries into QuickBooks Online

  In today’s blog post, we would like to cover an interesting case about Journal Entries’ file import into QuickBooks Online using Business Importer.

  Recently, our customer success manager Tony received a message from our client who has been receiving 2 errors after many trials while importing file with Journal Entries:

  1 error: Doc Numbers are missed, while the file had all needed Doc Numbers, and, what is the main factor in this story, a feature to let QuickBooks apply Doc Numbers automatically was turned on (“Generate automatically DocNumber”).

  2 error: It showed that credits and debits are unbalanced, while debits and credits balanced each other.

  When Tony looked at the case he realized why this has happened. Usually, Users turn on the setting “Generate automatically DocNumber”. However, in the case with importing Journal Entries, this feature has to be turned off, and the import file has to contain Doc Numbers.

  Recall of the Solution to import Journal Entries into QuickBooks:
  • Сheck if your import file has Doc Numbers
  • “Generate automatically DocNumber” feature should be turned off

  After the Customer turned off this feature, he was able to run this import successfully with the help of Business Importer Online, the tool that Export, Import, and Delete transactions, lists and entities in QuickBooks Online.
